Information we collect
Information You Give Us
When you submit an inquiry form, schedule a call, or email us, we collect your name, email address, phone number, department or agency, and anything you choose to include in your message.
Client and program information
When an agency contracts with us, we collect business contact details and the operational information needed to deliver the program — station addresses, station or duty phone numbers, shift schedules, and site access instructions.
Participant Health Information
Firefighters who take part in physical therapy, fitness, or recovery sessions may share health information with the licensed providers delivering those services. That information is collected and maintained by those licensed providers under their own professional and legal obligations, including California's Confidentiality of Medical Information Act (CMIA) and, where applicable, HIPAA. Critical Wellness does not receive individual participant health records, and we do not report individual participant information to employers. Any reporting we provide to a client agency is aggregate and de-identified.
Website Usage Information
Our site is hosted on Wix, which may collect standard technical information such as IP address, browser type, device type, referring page, and pages viewed, using cookies and similar technologies. See Wix's privacy practices for details on their processing.
Scheduling
If you book a call through our scheduling link, that booking is handled by Calendly under its own privacy policy.
How we use information

Mobile messaging and text notifications
Critical Wellness sends operational text messages to phone numbers provided by client agencies — for example, the time a crew's session is scheduled, or notice that our provider team is en-route to a station. These messages are sent only to numbers supplied by the agency under a service agreement, for the purpose of coordinating services the agency has contracted for. Each agency records that authorization on a written Station Messaging Consent Form signed by an authorized representative, confirming that the numbers provided are department-issued station or duty lines rather than personal numbers belonging to individual members. We do not send marketing or promotional text messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
Mobile numbers are disclosed only to the messaging service provider that transmits the messages on our behalf, and only for that purpose.
Message frequency varies by program schedule and is typically a small number of messages per service day. Message and data rates may apply. Reply STOP to any message to opt out of further messages to that number; reply HELP for assistance. A client agency may also request removal of any station number by contacting us directly.
How we share information
We share information only as follows:

With the licensed providers and instructors delivering your program, to the extent needed to perform the service

With service providers that operate our business — website hosting, scheduling, messaging delivery, email, and payment or accounting services — under obligations to protect the information

With the client agency, in aggregate and de-identified form, for program participation and outcome reporting

When required by law, or to protect the rights, safety, or property of Critical Wellness, our clients, or others

In connection with a business transfer, such as a merger or acquisition, subject to this policy
We do not sell or rent personal information to anyone.
How we protect information
We limit access to personal information to those who need it to do their work, use reputable service providers, and protect our accounts with access controls. Program participation records and any health information are handled by the licensed providers who collect them, under their professional confidentiality obligations. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
How long we keep information
We keep information as long as needed for the purposes described here — for the duration of a client relationship and afterward as required for legal, tax, insurance, and professional recordkeeping obligations. Inquiry messages from people who do not become clients are kept only as long as useful for follow-up.
Your choices and rights
You may ask us to give you access to the personal information we hold about you, to correct it, or to delete it, and you may opt out of communications at any time. California residents hold additional rights under the California Consumer Privacy Act as amended, including the right to know what personal information we collect and how it is used and disclosed, the right to request deletion or correction, and the right not to be treated differently for exercising those rights. We do not sell personal information and do not share it for cross-context behavioral advertising, so there is nothing to opt out of in that regard.

Our services are directed to public-safety agencies and their personnel. We do not knowingly collect personal information from anyone under 18.
